Bulk Employee Upload
Brief Description:
Office users need to quickly create large volumes of employee records so they can efficiently prepare their organization to track the time and productivity of newly hired employees. This update will allow us to hire multiple employees by using a CSV format instead of having to hire each employee individually. Office users no longer have to individually enter and create employee records in PickTrace. With a single file upload, hundreds of new employees can be entered simultaneously, saving organizations time during peak hiring season.
Here is a walkthrough for bulk uploading employees into your organization.
- Navigate to the Workforce Center section and select the Employees module on the left side of the screen to enter the page:
- Use the upload Icon to start the uploading process.
- Download Template
- Use our template file that will help you format your document to successfully bulk upload employees.
- List of required Fields
- Required fields will be marked with an asterisk, make sure you fill out all required fields in order to complete the process, our recommendation is to include as much data as possible.
- Required fields:
- *First Name,
- *Last Name *SSN
- *Gender *Marital Status (Includes Drop Down with options)
- *Employer (Includes Drop Down with options)
- *Crew (Includes Drop Down with options)
- *Title (Includes Drop Down with options)
- *Hire Date (Date Format YYYY-MM-DD)
- *Start Date (Date Format YYYY-MM-DD)
- Update
The new update option will allow users to edit the current employee's database, (changing, Employer, Contact, and Employment information)
- Upload Employees Data
- Once your file is complete, proceed to save it on your computer, click to select the file, or drag and drop the file over the window.
Make sure to select the appropriate action in the dropdown list:
Create: When new employees are being hired on the system
Update: When hired employees' information needs to be changed
- File Errors
- If the file contains any error you will see the following error and a report file will be generated flagging them.
Errors will be added to the Upload- report file and shown at the end of the columns, please see the following example, and proceed to correct and reupload the file:
