Harvest Reminders

Here are a few PickTrace reminders specific to Harvest to ensure your Field and Office operations are running smoothly. 

Office Reminders:

  • Crew Scheduler: Ensure work is scheduled for the season. PickTrace's recommended best practice is to schedule your Harvest crews for the entirety of Harvest and edit specific details (e.g., piece rates, locations) as needed.
  • Work Bundles: Review work bundle settings to make sure these align with your field processes.
  • Employees: Ensure all employee information is filled out in PickTrace, including Alt IDs. It is important that information is complete and updated in order to run payroll through PickTrace each week and ensure the information in PickTrace matches that of your payroll provider.
  • Sites: Update acreage and tree count for all blocks through the Sites page. This will enable you to get insightful metrics like cost per acre or time per piece through the Dashboard.
  • Timecards and Production: Each day, audit timecards and production records for the previous day's work. Pay attention to some of the following common errors:
    • Missing check-ins
    • Missing check-outs
    • Workers missing pieces
    • Missing lunches & breaks
    • Check jobs, locations & pay rates
  • Reports: Establish the reports that you need for field operations and/or payroll review. The Wage Adjustment Report is useful to track costs.
  • Review the Recommended Harvest Hardware, Gear, and Supplies guide.

Field Reminders:

  • Bin Tickets: Make sure you have enough bin tickets printed and have tested scanning a few into the PickTrace mobile application. Contact us immediately if you have any issues. 
  • Hardware: Each day, make sure all devices are charged, synced (online), updated, and connected to printers, if needed.
  • Printers: If using Field printers, stock up on extra receipt paper.
  • Badges: Ensure employees have a printed badge.  If an employee has lost a badge, ensure that it is replaced, as it will be used to credit bins to the employee. 
  • Trainings: Ensure that all employees that will be using the device are properly trained. You can find useful guides here.
