Auditing Timecards & Production Records
Information collected from PickTrace devices in the field is used to maintain accurate time tracking and piece records for Employees. Ultimately, this data will determine Employees’ pay. This is a guide to auditing this data and ensuring accurate time keeping, piece pay, and paycheck amounts.
When should you use this:
- Each day, PickTrace recommends that you audit timecards and production records. Follow the steps in the Daily Auditing section each day.
- For each payroll run, PickTrace recommends additional steps are taken to ensure accurate payroll processing. Follow the steps in the Payroll Processing section each time you process payroll (e.g., weekly)"
Goal:
Smoothly process payroll accurately and effectively
Step 1
Crew leaders complete "crew sheet" throughout the day
This sheet will show hours, location, employee, pieces, and jobs
Step 2
Crew leaders submit these sheets after a shift or the very next morning
Step 3
"Payroll admin" edits timecards on PickTrace against crew sheets
Step 4
Payroll admin asks crew leaders questions about the timecards
Call crew leaders with questions that came up after editing timecards
Step 5
At end of the week, "payroll admin" gives the crew leaders a weekly summary
Step 6
CL validate weekly totals, sign and send back to payroll admin
Step 7
Payroll admin makes final edits in PickTrace based off of CL's feedback.
